Invoices and your payment method

Where to find receipts, how to change the card on file, and what the Dodo Payments customer portal handles on behalf of Embers.

Embers does not store your card. Payments, invoices, and receipts are handled by Dodo Payments, and the app links to a secure customer portal for all of it.

Where the billing screen is

Settings, then Billing (/settings/billing). Two cards matter:

  • The plan card: your plan, interval, renewal or first billing date, and any pending cancellation or scheduled plan change.
  • The Billing details card: “Payment method, invoices, and receipts”. It shows the card on file as brand, last four digits, and expiry, for example “Visa ending in 4242, exp 12/2027”.

The Billing details card only appears on a self service paid subscription. Free accounts and plans set by an administrator do not have one.

Update the card

  1. Open the Billing details card

    It sits under the plan card on /settings/billing, with the card currently on file shown above the button.

  2. Choose Manage billing

    This creates a customer portal session and opens it. The button reads Opening… while the session is created.

  3. Make the change in the portal

    The portal is where you update your payment method, download invoices, and manage the subscription. Add the new card, make it the default, and remove the old one if you want.

  4. Come back and reload Billing

    The card summary on the plan screen is read from the provider, so it refreshes on the next load of the Billing screen.

Invoices and receipts

Every charge produces an invoice in the portal, and that is where you download them. Embers itself does not keep a separate invoice archive, so the portal is the source of truth for accounting.

What you can do there:

  • Download invoices and receipts for past charges.
  • See the next billing date and the amount.
  • Change or remove payment methods.

Adding a company name, address, or tax number

Billing identity lives with the payment provider, so add or correct it in the customer portal rather than in Embers. If an invoice has already been issued with the wrong details, email viraj@useembers.com with the invoice and the correction.

Troubleshooting

Manage billing does nothing

The portal opens in a new tab, so a popup blocker can swallow it. Allow popups for the Embers app and try again.

Some billing details are temporarily unavailable

The plan card shows that line when the live look up at the payment provider fails. Your subscription is unaffected and the details reappear on a later load. Nothing is charged or cancelled by that message.

My plan is managed by an administrator

Plans assigned manually have no self service portal, no invoices in the app, and no card on file. Email viraj@useembers.com for anything billing related.

I want a refund

The first paid charge can be refunded within 14 days of that charge. Later charges and partial periods are not refundable except where the law requires it. Ask at viraj@useembers.com.
