Join someone else's Embers workspace

Accept an invitation to a colleague's or client's workspace, see what a member can and cannot do, and switch between workspaces once you belong to several.

Updated 4 min read

If a colleague or a client runs an Embers workspace and wants you to help work the leads, you do not need an account of your own. You accept their invitation and work inside their workspace, on their plan.

Accept the invitation

An invitation arrives as an email, or as a link an administrator created and sent you. Both open the same page, headed “You’ve been invited”, which names who invited you, the workspace, and whether you join as an Admin or a Member. Invitations last seven days.

  1. Open the link from the email or message. Declining needs no sign-in: Decline closes the invitation and nothing is shared with you.

  2. Sign in as the invited address

If you are signed out, choose Sign in to accept. Embers brings you back to the invitation after you sign in. If the sign-in, a password reset, or a verification link fails, fix sign-in problems first.

If you have no Embers account yet, create one with the address the invitation went to. Embers adds you to the workspace as part of signing up, skips creating a workspace of your own, and starts no trial. An invitation sent as a link has no address to match, so open the link again once your account exists.

If you are signed in as a different address, the page says “Wrong account” and names both. Choose Sign out & switch account, then sign in as the invited address.

  3. Choose Accept & join

Embers adds you to the workspace, selects it, shows “You’re in!”, and takes you to the dashboard.

What a member can see and do

You are working somebody else’s signal, not a copy of it. Everything you do writes into their workspace.

Every member can work the product: the dashboard, the Priority Queue, leads and their detail, statuses, notes, lists, and DM drafts. Members can also shape what Embers finds: edit the ICP, add or remove watched profiles and keywords, turn agents on and off, and edit the company blocklist. Members can also connect an AI assistant from the MCP row on Integrations.

Administrators can also:

  • Invite people, change roles, and remove members under Settings, then Team. See team and roles.
  • Connect and configure destinations. Members can open Integrations, but the Slack, HubSpot, HeyReach, Instantly, Smartlead, Emelia, and webhook screens show “Administrators only”. These need Solo or above. See choose where Embers sends your leads.
  • Open Developer in Settings, and change the workspace mode.

Billing is only for the account owner. The owner’s role cannot be changed and the owner cannot be removed.

Email follows your own login. A member who joined by invitation, with no plan on their own login, currently receives no digest or update email, and their notification toggles are locked.

Joining does not add your LinkedIn profile to anything. If the workspace should read the people engaging with your posts, anyone in it can add your profile to the Watchlist tagged Myself (the Own role), within the plan’s cap. See add the profiles, pages, and keywords to watch.

Switch between workspaces

Once you belong to more than one workspace, you have two ways to move between them:

  • The workspace name at the top of the sidebar (at the top of More on a phone) shows the workspace you are in. Click it to open Switch workspace (Switch client on an agency). The dialog lists your workspaces with your role and the plan on each row, for example “Member · Growth plan”, groups client workspaces under their agency with an Agency or Client badge, and marks the one you are in Current. Click a row, or use the arrow keys and Enter. With more than five workspaces it opens on a search field.
  • The command palette. Press Cmd K or Ctrl K and type a workspace name. See find your way around.

Switching clears the filters you had open. If the workspace you moved to has not finished setup, Embers takes you to where its setup left off.

Leave a workspace

A member leaves from Settings, then Team, with Leave on their own row, or from the Danger zone card under Settings, then Account. Leaving removes your access to its leads and data; an administrator has to invite you again to come back. The owner cannot leave their own workspace.

Troubleshooting

  • Invitation expired. It is more than seven days old. Ask an administrator to send a new one from Settings, then Team.
  • Invitation no longer valid. It was already accepted, declined, or revoked. If you did not accept it, ask for a new one.
  • Invalid invitation. The link is incomplete or the invitation was deleted. Check you copied the whole link, then ask for a new one.
  • “You are already a member of this account.” You are in already. Switch to it from the workspace name at the top of the sidebar.

Frequently asked questions

Do I need my own paid plan to join someone's workspace?
No. The plan belongs to the workspace you join. Inviting people needs Growth or above on that workspace, and an administrator to send the invitation.
Do I get a free trial when I join through an invitation?
No. If you sign up with the invited address, Embers adds you to that workspace instead of creating one of your own, so there is no trial to start. You work on the inviting workspace's plan.
Can I belong to more than one workspace?
Yes. Once you do, the workspace name at the top of the sidebar opens Switch workspace with every workspace you can open, and the command palette lists them too. On a phone, the workspace sits at the top of the More sheet.
How long does an invitation last?
Seven days. After that the link shows Invitation expired, and an administrator has to send a new one.
